Cancellation Rules

• Cancellations must be requested through TripsArc WhatsApp or email using the same contact details used during booking.
• For cancellations made 7 days or more before the trip date, refund eligibility will be calculated after deducting non-refundable booking, payment gateway, permit, stay, transport or vendor charges.
• For cancellations made 3 to 6 days before the trip date, up to 50% of the package amount may be charged as cancellation fee.
• For cancellations made within 72 hours of departure, same-day cancellations or no-show cases, the booking amount is generally non-refundable.
• If TripsArc cancels or postpones a trip due to weather, safety, low group size, government restrictions or unavoidable circumstances, travellers may be offered a rescheduled date, travel credit or applicable refund.

Refund Processing

Approved refunds are usually processed within 5 to 10 working days after verification. The refund will be sent to the original payment method or another verified payment mode shared by the traveller.

Transfer Of Booking

A booking may be transferred to another traveller only after approval from TripsArc and only when vendor, stay, transport or permit rules allow the change.

Information We Collect

• Name, phone number, email address and WhatsApp contact details.
• Selected package, destination, preferred date, number of travellers and message details shared in the booking form.
• Payment confirmation details such as UPI ID, payment screenshot, transaction ID or UTR number when shared by the traveller.
• Basic website usage information that may help improve the website experience and enquiry flow.

How We Use Your Information

• To respond to enquiries and confirm trip bookings.
• To coordinate transport, stay, itinerary, trip leader support and emergency communication.
• To verify payment and maintain booking records.
• To send trip updates, offers, reminders and important travel information.

Data Sharing

Relevant booking information may be shared with travel coordinators, hotel/stay partners, transport vendors, trip leaders, payment support teams or authorities when required for safe and smooth trip operations.

General Terms

• Package prices, inclusions, exclusions, pickup points and itineraries may change depending on availability, season, route, weather and vendor updates.
• Travellers must provide correct name, phone number, travel date, package selection and payment details during booking.
• TripsArc may modify the itinerary, transport plan, stay arrangement or timing for safety, traffic, weather or operational reasons.
• Travellers are responsible for their personal belongings, valid ID proof, health conditions, punctuality and respectful behaviour during the trip.
• Alcohol, misconduct, unsafe behaviour or violation of trip leader instructions may lead to removal from the trip without refund.
• TripsArc is not responsible for delays caused by traffic, weather, road closures, government restrictions, natural events or third-party service issues.

Payments

Payments made through UPI, QR or any other method must be verified by TripsArc. Travellers may be asked to share transaction ID, UTR or screenshot for confirmation.

Health & Safety

Travellers joining treks, adventure activities, long routes or outdoor experiences should ensure they are physically fit. Inform TripsArc in advance about any important medical condition, allergy or special requirement.

Website content, package information, images and branding belong to TripsArc or respective content owners. Users should not copy, misuse or misrepresent the website content without permission.
